Removing Costs from the Supply Chain: How Both Buyers and Sellers Benefit

Although much attention is given to finding savings in the physical supply chain, opportunities for savings in the financial supply chain are often overlooked. This session examines several ways an organization’s financial operations function can drive costs out of the supply chain. Eric Jones, Director of Corporate Payables from Lowe’s will first explain the importance of shifting the mindset from a transactional to strategic focused operation. He will then share proven strategies that add value to both buyers and sellers, including:
· Process Automation and Improvement – the removal of paper invoices and eliminating manual processing tasks leads to significant cost reduction and less handling errors.
· Timely, Ethical Payment – by reliably paying invoices within negotiated and mutually agreed terms, the need for vendors to build cushion for unauthorized discounts and term extensions into the cost of their product is removed.
· Ease of Inquiry and Issue Resolution – the use of electronic portals allows vendors to monitor, approve, and settle invoices, eliminating back and forth inquiries and resulting in leaner staff for both parties.

How to Tackle Pricing Match Exceptions

Every organization has goals for process improvement but don’t always have time, resources, or strategy in place to achieve them.
Fairview Supply Chain Leadership decided to adopt a model from a book entitled The 4 Disciplines of Execution (authors: McChesney, Covey & Huling) which urges organizations to choose only one or two process improvement initiatives or goals to focus on one at a time, referred to as “Wildly Important Goals” (aka “WIG”).
Purchasing’s first WIG was to decrease invoice/PO match exceptions by 50%. The match exceptions, caused by new contracts or product conversions, or simply expired pricing, weren’t properly communicated and reported. This caused major headaches -- including financial loss, extra labor for the supply chain management team, and delay in payment to suppliers.
Every member of the Purchasing team is responsible for reducing match exceptions. A listing of all price exceptions is produced daily which helped them get to root causes. The daily scoreboard keeps the team motivated and is shared with the whole department. Fairview is happy to report that price exceptions are down by over 85%–well exceeding their goal.

The Path to Paperless at Procter & Gamble: Putting Suppliers First

How does Procter & Gamble (P&G), a multinational consumer goods company with $55 billion in payables, accommodate 60,000 diverse global suppliers with varying e-invoicing and tax compliance standards? P&G decided to take a “supplier is boss” approach by providing a “menu” of e-invoicing choices including sending PDF invoices via email for free and utilizing Optical Character Recognition (OCR) on the back-end to automate invoice posting. This is all part of an aggressive strategy that will move them from 30 percent to 70 percent paperless in the next three years.
